This Knowledge Base article will provide you a brief overview of the Appointments page and belongs to a larger learning track regarding the Appointments Settings(links to which can be found after this article at the end of the page).

Appointment Groups are the top level organisation for your appointments. Typically they are used per clinic location, and allows you to group diaries, hence simplifying the view for users at each clinic. For example, the screenshot below shows two Appointment Groups – “Vet Pet Hospital” (shown as selected) and a second for “Vet Pet Clinic”.
Appointment groups are defined in Settings> General Settings> Appointment Groups.
Appointment Columns are shown inside each Appointment Group. Each Appointment Group contains one – or several – columns. Normally each examination room/operating room would have it’s own column, however they can also be used for staff members. Individual patient appointments will be created in a column. For example, Columns are shown on the Diary page as below:
Appointment groups are defined in Settings> General Settings> Appointment Columns.
Appointment Types allow you to create templates for different appointments your clinic handles. For each type you can define a:
- default description
- default duration (can be overridden later)
- default appointment colour in the diary
- the order which the types appear (when booking an appointment)
For example: If you run a practice where a typical consult takes 15 minutes, you can create an Appointment Type called “consult” with a default duration of 15 minutes, which appears first in the drop-down list.
The Appointment Type can be found when a user creates an appointment in the Diary/Agenda as shown below:
Below you can see, the Admittance appointment type displayed has a duration of 15 minutes:
This is because in the settings we have set in this case has a default duration of 15 minutes! When a different appointment type is selected, such as Operation, the duration of the appointment will change to it’s duration setting. In this example Operation is 25 minutes.
Appointment groups are defined in Settings> General Settings> Appointment Types.
