How do I access the report that shows me my active clients?

If you want to keep track of your active clients, you can. There is a pre-set report in Animana that shows you an overview of your active clients per period. An active client is a client that was invoiced in a certain period. This article will show you how to access the report with your active clients and will explain how to read the data.

  • You need permission to be able to access the active clients report. Permissions can be adjusted by practice administrators in  > General Settings > Role Management.
  • Be aware: when granting a person access to reports, they automatically also have insights in your practice financials.
  • The active client count is a fixed, non-exportable report.

Step-by-step instructions

  1. Go to  > Reports.
  2.  You will see a list of reports on the left-hand side. Scroll down the list and click Active Clients/Patients.

  3. You will find the active client data in the second table, called “Number of active clients per year”.

What do the numbers in the table mean?

  • In the first column you will find the past 10 years.
  • In the second column, “Total”, you will find the total number of active clients for that year. Active clients are clients that have been invoiced in a 12 month period.
  • In the next columns you will find a specification per month. “01” refers to January, “02” to February, et cetera.

The numbers before the “/” are the number of individual clients that were active in that specific month.

So for 2020 there were 30 active clients in the entire year (column “Total”). Of those 30 active clients, 5 clients were active in January 2020 (column “01”), 3 were active in February 2020 (column “02”), 5 were active in March 2020 (column “03”), et cetera.

The sum of the per month numbers (for 2020 in the example above that would be 5+3+5+6+0+6+5+7+23+15+8+10) is more than the total for the year (30) because a client that had financial transactions in every month is counted in each individual month, but on a yearly basis he or she is just 1 active individual client.

The number after the “/”is the total number of individual active clients measured over the past 12 months.

So for 2020 we see “5/22” for January. This means that the number of individual clients that had one or more financial transactions in the period from 01-02-2019 to 31-01-2020 is 22.

So the number after the “/” in December will be the same as the total number of active clients for that year because the December column starts to measure at 01-01-2020 and ends at 31-12-2020.
