How do I perform a stock count at the end of a book year? (new workflow)

It is important to know what products you have in stock. Not just so you know what to order, but also because you (and your accountant) need to know the total value of your stock (e.g. to close the book year), and the value in case of accidents. A stock count is typically performed at the end of a book year. This article explains how you can do your stock count in Animana.

  • In order to work with stock, all changes to stock must be registered in Animana (i.e. each user must register every sale, return, usage, wastage and expired product in Animana). Moreover, all the product settings should be correct and all subproducts need to be correctly linked to main products.
  • You need to have permission to be able to access and edit the stock list. User permissions can be adjusted by your practice administrator in Settings > General Settings > Role Management.

Step-by-step instructions

  1. Go to Extra > Stock > Stock List.
  2. Check that the location pre-selected in the location drop-down menu is the one you want to do the stock count for.
  3. Check the products listed and their current stock (“in stock” column). You can filter the list at the top by selecting a product group, location, supplier, or status and you can search for a specific product.
  4. If needed, you can edit the stock by clicking the “in stock” quantity. Please refer to the related articles for more information.
  5. Export the stock count by clicking on one of the Export Stock Count buttons at the top right. You can choose between PDF or Excel (xlsx) format.

Can I view stock mutations in this screen?

Yes, by clicking Stock List History next to a product, you will open the stock list history page in a new browser tab. This page will show when there was a change in the stock quantity of this product, which batch it refers to, who made change, what the reason was for the change, and whether the product was incoming or outgoing.

The rolling total at the bottom right should match the number in the “in stock” field in your Stock Count table.
