How do I setup my stock for products without batch numbers?

Managing your stock means keeping track of how supplies and products move through your practice. For many items, batch tracking is essential, but for everyday disposables it’s often unnecessary. Still, these products should be included in your product database so you can monitor stock levels and reorder them when needed. This article explains how to set up your stock for products without batch numbers.

Step-by-step instructions

  1. Stock is defined per location, so double check that you are logged into the correct location before continuing. It is displayed in the top right corner of Animana, underneath your name.
  2. Go to Extra > Stock > Stock List.
  3. Check that the location pre-selected in the location drop-down menu is the one you want to edit stock information for.
  4. Find your product by entering the product name in the “Filter by product” field.
  5. Click Enter.
  6. Add a desired minimum and maximum level of this product for this location. More about this.
  7. Now click the quantity of the product in the third column (“in Stock”) to open the batch editing modal.
  8. Add the “local stock quantity” for this product in the first field.

  9. Select the “reason for editing” from the drop-down menu. The options are “breakage”, “expiration”, “incorrect invoicing”, “spillage”, and “other”.
  10. If needed, you can add information in the “editing notes” field.
  11. Click Save.

Why don’t I see the field “local stock quantity”?

When you open the batch editing modal in the Stock List and do not see the field “local stock quantity” that means that batch tracking has been enabled for this product.

If you want to disable batch tracking for this product, proceed as follows:

  1. From the batch editing modal in the Stock List, click on Edit product stock settings.
  2. You will be taken to the Stock tab for this product.
  3. Select the checkbox “No batch tracking”.
  4. Click Save.
  5. Click Go to Stock List.
  6. You can now follow the instructions above to add stock information for this product.

How do I fill in the “Min” and “Max” fields?

If you always want to receive order suggestions

If you want to receive order suggestions from Animana, you need to enter a desired minimum and maximum stock level for this product for this location. You can click in the Min and Max fields (4th and 5th columns) to add or edit the quantities.

If the “in stock” quantity becomes equal to or lower than the minimum you set here, Animana will add the product to your list of suggested orders (Extra > Stock > Create Order) under the heading “Suggested products based on stock level”.

If only “Max” is entered, the order suggestion will appear on the Stock List (Extra > Stock > Stock List > column “Order”), but the product will not appear on the suggested order list (Extra > Stock > Create Order).

If you do not (always) want to receive order suggestions

  • If you do not want any order suggestions, simply leave the Min and Max fields empty.
  • If you only want to order a product when you need it, and therefore do not want to receive automatic order suggestions, you can also enter “0” (zero) in the Min and Max fields. This will change the status of the product to “On demand”.
    If, at a later time, you create a client order for this product, Animana will then suggest ordering the product and includes it in the suggested order list ( Extra > Stock > Create Order).
